Import your existing CV from Word or PDF

Upload your document, review the career details LadderReady finds, then confirm what to add to your Master Profile. Use that information to create and edit a CV with a LadderReady template.

Upload your CV

Importing career information does not use AI Assistant credits.

Your information, ready to reuse

  1. 1 Upload a Word or text-based PDF
  2. 2 Review the career details found
  3. 3 Confirm what to add to your profile
  4. 4 Create and edit a CV with a template

Supported CV files

Upload a .docx Word document or a PDF that contains selectable text. If you can highlight and copy text in the PDF, it should usually be suitable for import. Check that copied text is readable, not scrambled or missing entire sections.

The document upload limit is 10 MB. PDFs must have no more than 20 pages and must not be encrypted or password-protected. Older .doc files are not supported; save a new .docx copy in your word processor.

From an existing CV to an editable one

LadderReady extracts useful career information from your document and organises it for review. After you confirm selected details, they are added to your Master Profile. You then create and edit a CV using LadderReady’s layouts; the uploaded document’s original page design is not carried over.

How to import a CV or resume, step by step

  1. Sign in to LadderReady and open Import Data. Choose Upload CV/resume. Keep your original document beside you for comparison.
  2. Choose your .docx or text-based .pdf file and select Upload and review CV/resume. Wait for processing to finish; uploading prepares a review and does not yet add career details to your Master Profile.
  3. Open Review classified details. Compare names, contact details, employers, job titles, dates, descriptions and section placement with your source. Ready records are checked for you; uncheck any details you do not want to add.
  4. Read Needs attention if it appears. Unresolved facts are not added automatically and do not have to block the ready details. Where a certification or project type choice is offered, choose it only if your source supports it; otherwise leave the record for review.
  5. Select Import to Master Profile to confirm the checked details. Document imports keep existing information: populated profile fields stay in place, new career records are added, and exact duplicate records are skipped. Similar records with different details can still need manual cleanup.
  6. Review your Master Profile after confirmation. Correct dates and section placement, add missing facts from your original, and check any Needs attention handoff. Import classification uses extracted source text rather than writing new achievements for you.
  7. Open CVs, choose Create CV, and build a separate editable CV from your Master Profile. Choose a template, select relevant content, then preview and download the PDF.

Career details you can bring in

Depending on what is in your document, the importer can organise supported details such as:

  • Profile and contact details
  • Employment history
  • Education
  • Skills
  • Certifications
  • Projects

Your Master Profile keeps reusable career information. Create multiple independent CVs for different applications; each CV is its own editable snapshot, and later Master Profile changes do not automatically rewrite your existing CVs.

CV import troubleshooting

No usable text found in a PDF

Try copying a paragraph from the PDF into a text editor. If it is empty or unreadable, use the original DOCX or export a new text-based PDF. Selectable text is a useful check, but does not guarantee successful extraction.

The file is rejected

Check the extension and file size. Export an unlocked PDF of no more than 20 pages, or a DOCX, up to 10 MB. Renaming a .doc or image file does not convert it. If the file is corrupt, export a fresh copy from the original editor.

Dates, descriptions or sections are incomplete

Compare the review with the source, especially text in columns or tables and descriptions split across lines. Leave incorrect details unchecked and add or correct them in the Master Profile after confirming the useful details.

A review expired or processing failed

Unconfirmed extracted reviews expire after 24 hours. Upload the file again if the review expired. After a processing failure, retry or choose another supported file; you can also enter the details manually.

My existing CV did not change

Import updates the Master Profile after confirmation. Existing CVs are independent snapshots. Use the editor’s explicit profile refresh or copy new Master Profile items into a CV when needed, and review the result; importing does not automatically rewrite it.

Enter details manually

Starting from LinkedIn instead?

Choose LinkedIn in Import Data for a LinkedIn data-export ZIP or saved profile HTML. Saved Skills and Certifications detail pages can supplement the HTML profile. These are file imports, with no live account connection or synchronization. A LinkedIn PDF belongs in the document upload option and must pass the same text-based PDF checks.

Unlike additive DOCX/PDF imports, LinkedIn ZIP/HTML imports replace the selected Master Profile sections. Check the detected information and replacement warning before confirming; unselected sections stay unchanged.

Temporary document handling

PDF files are temporarily staged in private storage for text extraction and removed from staging after extraction or failure. LadderReady does not copy the source DOCX into managed import storage. Confirming or abandoning an import clears its extracted review data. If you leave an extracted review unconfirmed, it expires after 24 hours and is cleared by the cleanup process. Read our Privacy Policy for more about information LadderReady handles.

After confirmation, unresolved excerpts remain privately available in your Master Profile until you add or dismiss them. The full extracted facts and mapping are cleared.

Document classification may send extracted CV facts to the configured AI provider. Importing does not consume AI Assistant credits, but that does not mean all processing stays inside LadderReady. Confirmed profile information remains in your account; expiry of an import review does not delete your Master Profile.
