Administrative assistant CV: examples you can learn from
An admin CV needs to show how you keep information, people and everyday tasks organised. Use the example and prompts below to describe work you have actually done, whether it came from an office, a shop, study or volunteering.

Start with the vacancy, then choose your evidence
This guide focuses on general office support and first administrative assistant roles. Executive, medical and legal support vacancies can require different experience or qualifications. Read the actual duties before choosing what to include. For a US vacancy, the same evidence can form a resume; follow the employer’s terminology and format instructions.
Mark the requirements you can support: arranging meetings, maintaining records, responding to enquiries or preparing documents. Beside each, write one real task, the tool you used and how you checked the work. Leave unsupported requirements as gaps rather than adding them to your skills.

Retail Assistant · Alder Stationery · September 2021 – February 2023

Level 3 Diploma in Business Administration · Example College · 2021
Skills with context
- Outlook: room bookings and calendar updates.
- Excel: entering attendance data and checking it against source records.
- Written communication: meeting notes and action lists reviewed by a coordinator.
Why it works: each claim is tied to a task. “Checked dates” explains attention to detail, and the coordinator’s review makes the level of responsibility clear. No efficiency percentage, advanced Excel ability or management responsibility is invented. You can describe reliable work without a numerical achievement.
No office experience? Keep the real role and show transferable work
You do not need to rename retail, study or voluntary work as an administrative job. Use its actual title, identify the setting and select tasks that match the vacancy. Put relevant education or projects earlier if they provide your strongest evidence. A course exercise belongs under education or projects, not employment.
First-role summary: a separate fictional example
Retail assistant seeking a first administrative role. Experienced in answering customer enquiries and checking deliveries against paperwork. Used Excel to organise a task list for a college group project and wants to bring careful record keeping and clear communication to office support.
A project bullet to support it
College group project: maintained an Excel task list with deadlines and recorded agreed actions after weekly group meetings.
The spreadsheet claim here comes from study, not a workplace. If you have never used a requested tool, do not claim proficiency. List relevant learning accurately, including whether a course is still in progress, and check the vacancy’s essential requirements before applying.
Turn admin skills into evidence
Copy these prompts into your notes. For each relevant area, write: setting → task → tool or process → check or outcome. These are recall prompts, not a list of skills every applicant must have.
- Scheduling and priorities
- What did you arrange? How did you check availability or resolve a clash? Distinguish updating a shared calendar from managing someone’s whole diary.
- Records and spreadsheets
- What information did you enter, sort or check? Name formulas only if you used them. Describe your checking process without publishing customer or staff data.
- Emails, calls and documents
- Who needed the information? What did you prepare or explain? Say when a supervisor reviewed it or when you passed a query to someone else.
- Meetings and follow-up
- Did you book a room, prepare materials, take notes or track actions? Use the responsibility you actually held rather than claiming to have led the meeting.
